Sending Your Seasonal CMA in Bulk

Purpose Use this guide after your Seasonal CMA email, SMS and Digital CMA have been tested. It explains how to define the right group of owners, send on behalf of an office or individual agent, and schedule email and SMS sends.

Before you begin

· Confirm the Seasonal CMA template has already been tested and is ready to send.

· Decide who should receive the CMA: the whole office pipeline, a suburb/street segment, or an individual agent’s clients.

· Choose whether to send immediately or schedule the campaign for later.

1. Define your group of owners

Open the Properties database. If a Listed filter is already applied, clear it before building your new found set. Open Advanced Find using the magnifying glass, scroll through Common Searches, and select Property Details.

Recommended seasonal office search

For the standard seasonal office send, select the property statuses Potential and Appraised, then apply the filter. This creates a pipeline audience that can include owners you have sold to, met, or appraised.

Targeting is flexible You can narrow the search by suburb, street or other property criteria. The key is to define the exact found set before you send.

2. Send the email to the found set

With the required owners displayed, choose Send Email. Open Templates, search for “CMA”, and select the correct seasonal template—for example, Spring.

Select the appropriate Seasonal CMA email template for the found set.

· For a bulk property send, use the property attached as the recipient context.

· Review the loaded preview before proceeding.

· If sending for the whole office, set Dynamic Send / Sending As to Assigned Agent so each email is sent from the agent responsible for that owner.

Review recipient context, preview and sender settings before sending.

3. Send now or schedule for later

If the campaign is ready, leave Send Now selected, confirm the recipient count and send. To schedule the campaign, choose Send Later, select the required date and time, confirm the schedule, and then send.

Use Send Later to choose the date and time for the campaign.

Check before confirming Always verify the recipient count, template, context, sender and scheduled time before committing a bulk send.

4. Send the Seasonal CMA by SMS

Use the same found set and select Send SMS. Only owners with available mobile numbers will be included. Search Templates for “CMA” and select the correct seasonal SMS template.

Select the matching Seasonal CMA SMS template.

· Turn on the required property context.

· Update and review the SMS preview.

· For an office-wide send, use Assigned Agent as the dynamic sender.

· Choose Send Now or Send Later. If coordinating email and SMS, schedule both for the intended campaign time.

Preview the SMS and confirm the sender and scheduling options.

5. Send only to an individual agent’s clients

If an individual agent wants to send only to their own clients, first find Potential and Appraised properties, then add an additional Advanced Find for properties Assigned To that agent. Apply the filter to create the agent-specific found set.

Add an Assigned To filter to narrow the found set to one agent.

From that smaller found set, follow the same email and SMS workflow. Select the Seasonal CMA template, use the required context, and make sure Sending As is the individual agent’s name rather than Assigned Agent for the whole office.

Final send checklist

☐ Correct seasonal CMA template selected

☐ Property attached / required context enabled

☐ Email and SMS previews reviewed

☐ Sender set to Assigned Agent for office-wide sends, or the agent’s own name for individual sends

☐ Recipient count checked

☐ Send Now or Send Later date/time confirmed

Remember Seasonal CMA campaigns are commonly sent in spring, summer, autumn and winter, but the same workflow can be used to send a CMA to a chosen group of owners at any time during the year.
