How to customise your fields in LockedOn to suit your agency - such as lead sources, groups, communication lists, keywords and more.

Certain fields and groups within LockedOn can be customised to suit your agency. There are numerous field options you can add and customise, including client / property groups, keywords, lead sources and more.

Making these fields your own will allow you to run your agency the way you do business - and give you considerable power to sort data and market to specific segments of your database.

Accessing and understanding field customisations

  • Click on Engine in the main menu

  • Click on Customisations.

On the left, you will see a list of the 9 different field types starting with Lead Source. In the centre is a list of all the labels (tags) currently associated with the field type you have selected.

A green tick will appear in the used column for all tags that are currently linked to at least one client/property. Having a green active switch on means you will be able to select this label (tag) from a dropdown box in the client/property file. If the active switch is off, this label will not be accessible from client/property files.

The edit button will allow you to rename the label (tag). The downward facing arrow to the right of the edit button will allow you to remove the label from the list all together or change its associated field type.

To create a new tag, click the + Add label button in the top right corner of the tags list.

What can I customise?

You can customise a number of different fields and tags in Customisations, including:

  • Lead sources - e.g. Mail out, open home

  • Client groups - e.g. Buyer categories, landlords

  • Property groups - e.g. Hot appraisals, marketing zones

  • Commission types - e.g. List, Manage, Sell

  • Property types - e.g. House, unit (these are typically locked as per real estate specifications) These cannot be edited or deleted. You can simply de-activate the property types your office will not need to use.

  • Marketing publications - e.g. Sydney Morning Herald, Domain.com.au

  • Marketing categories - e.g. Online advertising, print advertising

  • Keywords - these are property keywords which can be assigned to a property, and in buyer criteria. E.g. Walk to shops, ocean views

  • Communication lists - there are email marketing lists which contacts can subscribe / unsubscribe from. These lists are visible to contacts via the unsubscribe screen.
