How to find and communicate with all clients that have an invalid or failed form of contact.

The common search function of LockedOn allows you to search and communicate with all clients that have specific contact information that is either invalid or failing to receive your correspondence. To use this feature;

  • Go to the Clients section of LockedOn

  • Click the magnifying glass icon in the top right hand corner. This will open a side menu from the right with all of the most common search filters.

What missing details can I search for?

  • Invalid Phone Numbers

  • Failed Emails

  • Failed Mobile

Simply click on the search title that suits your needs ie Failed Emails and click the green Apply Filter button.

Once you have the list of clients, you can tailor the way you communicate with them and ask them for their current details.

To bulk send

  • Click the send button in the top right corner

  • Select the option that suits ie email, sms, letter.

  • Select a template from the list (or edit the blank one for sms/email only)

  • Click green Send button at the bottom.

You've now managed to contact the entire list of clients in one simple step!

Create a Hit List/call list

  • Click the green Action button in the top right

  • Select Create Hit List

  • Give this list a label

  • Select default or call list option

  • The list of clients will now run along the top of your screen in banner fashion, allowing you to work through each client file quickly.

Hit Lists will be saved in your tasks menu. This means, if you run out of time before completing the list, you can start exactly where you left off.

Hit Lists also allow you to delegate data cleaning to other users in your office. To do this;

  • Go to Tasks in left menu and select Hit Lists tab

  • Click the downward arrow to the right of the relevant hit list

  • Select Global Access.

This Hit List will now appear in the Tasks > Hit List section of LockedOn for all users in your office.
