How to record the details of a property inspection

Keeping track of who has inspected your listings along with when and what they thought of the property, is not only a legal requirement in many states, but is also a crucial step to managing your buyers, vendors and overall sales.

There are two ways to record the details of an inspection in LockedOn. One is from the client file and the other is from the property file.

From the property file

  • In the properties section, search/select the property that was inspected.

  • Click Actions button in top right corner and select Add Inspection.

  • Start typing the mobile number of the client that inspected in the dropdown box.

If the client is already saved in your database, they will appear and can be selected.

If the client does NOT already exist in your database, you will have the option to Create Contact directly from this window.

  • Continue to fill in the side menu with as many inspection details as possible including; date, time, duration, client star rating, client interest level, referral source, agent attending and client price opinion.

  • There are two sections for notes at the bottom. One for private office notes and one for vendor shared notes. Enter notes as needed but ensure you click the Finish button under each box when done.

  • When green, the Don't fire inspection trigger switch will prevent any automated inspection triggers ie emails/sms etc from being sent to the client.

  • Click the green Add Inspection button at the bottom of the side menu to finalise the process.

This inspection will now appear in the activity > inspection tab of the property file.

From the client file

  • In the clients section, search/select the client that has inspected.

  • Click Actions button in top right corner and select Add Inspection.

  • Start typing the address of the property that was inspected in the drop down box.

  • Select the relevant property from the list.

  • Continue to fill in the side menu with as many inspection details as possible including; date, time, duration, client star rating, client interest level, referral source, agent attending and client price opinion.

  • There are two sections for notes at the bottom. One for private office notes and one for vendor shared notes. Enter notes as needed but ensure you click the Finish button under each box when done.
