How to send your vendor an invitation to login and view the vendor portal.

The Vendor Portal allows your vendor to have 24/7 access to information about their listing. You will be notified each time the vendor logs in to the account. Please be advised, this portal will only be as detailed as you make it, with information once again being merged from other areas of the property file ie listing tab, marketing tab, activity tab.

To allow your vendor access to this portal,

  • Search/Select the appropriate client in your Clients section

  • Ensure they have a valid primary email address saved in their contacts card. To do this, go to the client file and click View Contacts.

  • Click the small downward facing arrow next to the Edit button and select Invite to Vendor Portal. This will send the vendor an email invitation with a link for them to set a password for their login.

Creating a Vendor Report

  • Search for / select the desired property

  • Click on Actions, and then click Add Vendor Report.

  • Be sure to turn the Show On Vendor Portal switch on inside the create side menu and you will also need the Show on Vendor Portal switch on in the header bar on that page.

Customising your vendor report

As part of the creation process, you can:

  • Set the date range of the report (start and end) - this will only show activities from that particular date range.

  • Write activity, inspection and report summaries - in these sections, you can write your thoughts on the campaign (e.g. great turn out on the weekend - had lots of groups through and the interest was great), discuss the marketing actions undertaken, and the plan moving forward - or anything else you wish to add. It's up to you!

  • The report will have settings below the summaries that allows you to control how the report will look when produced.

Once you have written your report, click the green Add Vendor Report button at the bottom to save it to the property file.

Viewing previously created reports

Previously created vendor reports can be viewed under Activity and then the Vendor Reports tab. Ensure the Show on Vendor Portal switch is turned on here. You can now choose to Preview Vendor Portal to see what your vendor will be seeing when they log in. If you need to print or email a specific report, you can also do that here by clicking the downward facing arrow next to the Edit button.
