Customising and sending digital pre-listing kit email

How to customise the digital pre-listing kit to suit you as an agent and the property you are appraising.

The digital pre-listing kit is an amazing tool that allows you to send your vendors confirmation of their appraisal appointment, provide them with information about you and your office, and allow you as an agent, to gain some valuable insight into their values and expectations.

Before you start

We highly suggest you add yourself & your property as a test appraisal and practice using this tool before you send to a real client.

An admin user or account holder must first set the office default template. Please refer to the article "Default digital pre-listing kit for your office" if this has not been done.

The digital pre-listing kit also contains affiliated features. Please ensure you have read the articles below and have added these features to your LockedOn prior to creating your office digital pre-listing kit;

Customising individual digital pre-listing kits

Please ensure you have entered the property address, bed, bath, car details and entered the appraisal appointment date and time into the property file before customising your digital pre-listing kit.

  • Search/select the address of the property you are appraising in the Properties section

  • Go to the Lifecycle tab which will automatically take you into the the Appraisals tab of the property file.

  • Confirm the appraisal date has been entered and click the green Enable Digital Pre-Listing Kit button at the bottom of the page.

The Digital Pre-listing Gateway will now appear, containing a link, buttons to preview, customise and send to your vendor, as well as your vendors responses to the vendor questionnaire.

Please note: Previewing prior to customising will show the office default template selections for testimonials, articles, stats and recent sales.

Customising

Should you wish to personalise these features to reflect you and the property you are appraising, please customise prior to sending by clicking the Customise Pre-Listing Kit button under the heading Pre-List Options.

Components

The Digital Pre-Listing Kit template is made up of several separate components shown in list form to the right of your template. To see the customisation options for each component, click on the component name in the list.

Removing a component

Each component has an eye icon to the right of it. If you would like to remove a particular component from your digital pre-listing kit, simply click the eye icon to the right of that component and it will not appear in your template.

Breakdown of Components

Header and Intro

The first component of your digital pre-listing kit is the Header and Intro. This is where you confirm your appointment date and time with your client and introduce them to the process they are about to follow.

  • Select the Header and Intro option from the components list on the right. The customisation options for this section will appear above the components list.

Whilst the customisation for the Header and Intro is broken down into 5 main sections, we recommend you only customise the Header and Calendar sections to ensure uniformity amongst all agents.

  • Header - enter your custom header text and colour or leave the existing default text. Turn the switches for Hide Greeting and Hide Meeting Time on or off depending on your preference. If these switches are on (green) this information will be merged from the appraisal tab of the property file.

  • Calendar - if you would like to show your appointment destination as your office address, turn this switch on (green). Adjust the font colour as desired.

Agent Bio

This section pulls information from your Agent Bio section of your LockedOn Profile so please ensure you have completed this section prior to sending the digital pre-listing kit (refer to article "Adding Agent Bio").

You may customise the Icons in the Feature List section here if you so wish.

  • Feature list- select an icon for your features and adjust colour border top to suit ie solid, dashed, dotted.

Recent Sales

This section works similarly to the property card widget in your email templates in that it will pull data from the property file itself ie property details, images, online links, description etc.

If you have sold similar properties to the one you are building the digital pre-listing kit for, it's a great idea to manually select those similar properties here.

When customising the default for this section you may edit the following;

  • Properties - select properties dynamically ie all properties exchanged in last 30 days OR manually select individual properties by typing the address into box 2 and selecting the appropriate property from the list.

  • Sort - select which order you wish for these sales to appear ie exchanged new to old etc

Buyer Match

This section will automatically merge active buyer and matching buyer stats directly from your database as well as the property characteristics (bed, bath, car) directly from the property file of the address being appraised.

We recommend you do not customise this section as your admin has created a specific default look to ensure office consistency.

Testimonials

Here you can select which testimonials you would like to appear in your digital pre-listing kit for this property.

If you have uploaded testimonials that relate specifically to you and your successes, you can manually select those here rather than using the office default testimonials.

  • Testimonials - click in the "Select Testimonials" box and select your preferred testimonial from the list.

Please note, only testimonials that have been uploaded as per the "Adding Testimonials" article will appear in this dropdown menu.

Office Stats

The Office Stats section will show the default office general stats. You can however, customise this to show more specific stats related to you and your career.

You will see multiple blue customisable text boxes for the heading and for each stat. Simply highlight the existing text within these boxes to add your own stats. The existing defaults show some great examples of the types of stats to think of.

To further customise, expand the headings in the list on the right.

  • Header - select/adjust the font size, colour and spacing (margin).

  • Icons - select which icon type to use for each of the four stats. Click the icon to the right for options.

  • Icon Style- select/adjust the colour, height and width of your chosen icons.

  • Layout - select a background (bg) colour for this section.

Articles

Here you can select which articles you would like to appear in your default digital pre-listing kit. The office default template may show general selling/buying guides that you may wish to keep however, you can choose to select articles that specifically relate to the property you are appraising such as suburb reports etc

  • Style - select the background (bg) colour of this section

  • Articles- click in the Select Articles box and select your preferred article from the list.

Please note, only articles that have been uploaded as per the article "Adding Articles" will appear in this dropdown menu.

Footer

The footer acts in the same way an email signature works in all other email templates. It will merge the details of the appropriate listing agent at the time of sending. We would not recommend changing this section prior to sending.

Save

Once you have customised all components of the digital pre-listing kit, please ensure you click the Save and Close button in the top right corner of your screen.

Sending

Once you have customised and saved your digital pre-listing kit to suit the property you are going to appraise, you will be taken back to the appraisal Digital Gateway section of that property file.

We recommend you Preview Kit again prior to sending to make sure you are happy with the customisations.

  • Click the Preview Kit button to ensure you are happy with your customisations.

  • Once you have checked this, click the Email link to vendor and SMS link to vendor buttons.

Your vendor will now receive both pre built email and sms templates containing links to view their digital pre-listing kit.

Within this, they will have a button that takes them to the vendor questionnaire. The answers they provide to this short survey will automatically feed back into the property file of your LockedOn account in real time and will appear in the Digital Pre-listing Gateway section of the appraisal tab.

Pre built triggers will ensure you receive an email and sms alert when your vendor opens the email AND the survey. This is a great opportunity to gain some insight into your vendors expectations prior to meeting them so be sure to check their responses before your appointment.

Please note: if you are not receiving alerts, please ask an admin user to check the Digital Pre List Triggers have been activated.
