Congratulations! You have just listed a new property! If you have appraised the property, you should have a property file linked to a vendor for this address already saved within your LockedOn. To change the property from an appraised or potential file into a listing file, you will need to add some more information to it.

Getting started

Managing your new listing all starts here so it is important to keep a record of all information relating to the listing as up to date as possible.

  • Search/select the appropriate address within your properties section

  • In the Information tab of the property file. Some of this information should already be saved, but just double check that you have filled in as much of the following as possible;

Listing Category - Residential, Commercial, Land, Rural

Property Type - these options will be based on the category you selected ie Residential House, unit or Land - residential or commercial etc

Property Address - be sure there are no additional spaces at the end of your street name, suburb, state or postcode.

Property Essentials - try to fill in as many boxes in this section as possible. The bare minimum needed to upload successfully is bed, bath, car numbers.

Once you have ensured all of these details are saved in the main information tab of the property file, scroll to the bottom of the page and click the Update Listing button.

Move to the Lifecycle tab and select the Listing tab here.

Listing Tab Section Breakdown

Enter is as many details as you can for each section of the listing tab.

Important Dates

  • Method of Sale - this MUST be entered in order to upload. Select either Private or Auction methods

  • Auction Date- if Auction method is selected, an Auction Date MUST be entered

  • Date Listed - this is the date your client signed the agency agreement. This MUST be saved in order to upload

  • Contact Expiration Date - when does your agreement with your vendor end

  • Contract Received Date - when did you receive the first copy of the contract for sale from the vendors solicitors

  • Date Withdrawn - do not add this unless the property is withdrawn from market during your campaign

  • Date Launched - the date you first started advertising the property online

  • Sold By/Tender/Deadline Date - date the property must be sold by or deadlines for offers

Managing Agents

Specify the agents in charge of the various aspects of the listing. This information is used in the marketing of the property.

You MUST select a Listing Agent.

Pricing Guides

You MUST have a Listing Price - Guide AND Listing Price - Sorting saved in the property file.

Listing Price - Guide -this is the Advertised price that your clients will see. You may add text here rather than numerals if necessary

Listing Price - Sorting - this is the price LockedOn will use to match your buyers. It will not be shown on advertising. Only numerals and no symbols or spaces are accepted in this box

VPA - Agreed Amount - How much has your vendor agreed to pay towards marketing the property

Under Offer - only turn this switch to green (on) once your vendors have formally accepted an offer

Property Rates

If you have access to them, please enter regular rates here ie water, council, strata. You can choose to enter this either at quarterly or annual rates.

Tenant Details

If your listing is currently tenanted, having the tenant details on hand will make it much quicker and easier for you to schedule inspections with the tenant.

Click the Add Tenant button and enter their details in the side menu on the right. Click the Add Client button at the bottom of the side menu.

If you happen to see this notification in either the phone number or email address section, it means this tenant is already in your database and the system will automatically link that file as the tenant for this property when you click the Add Client button at the bottom of the side menu.

This is the final stage of the listing tab. Click the green Update Listing button at the bottom of the page before moving on to the Marketing tab.
