How to enter a new rental listing and upload to portals

Congratulations! You have just listed a new rental property for lease! If you have performed a rental appraisal or been managing the property already, you should have a property file linked to the landlord for this address already saved within your LockedOn.

Getting started

Managing your new listing all starts here so it is important to keep a record of all information relating to the listing as up to date as possible.

Be sure to change the status of the property within LockedOn to For Rent. Click here for more information on how to do this. Once you have updated the status;

  • Search/select the appropriate address within your properties section

  • In the Information tab of the property file. Some of this information should already be saved, but just double check that you have filled in as much of the following as possible;

Listing Category - Residential, Commercial, Land, Rural

Property Type - these options will be based on the category you selected ie Residential House, unit or Land - residential or commercial etc

Property Address - be sure there are no additional spaces at the end of your street name, suburb, state or postcode.

Property Essentials - try to fill in as many boxes in this section as possible. The bare minimum needed to upload successfully is bed, bath, car numbers.

Agency Ref Details - enter the key number and or alarm code in the relevant boxes. You may also add any other specific notes to the internal office description box

Once you have ensured all of these details are saved in the main information tab of the property file, scroll to the bottom of the page and click the Update General Information button.

Move to the Lifecycle tab and select the Rental tab here.

Rental Tab Section Breakdown

Enter is as many details as you can for each section of the listing tab.

Rental Details

  • Amount per week - this is the advertised price and MUST be entered in order to upload. You may enter numbers and letters here if necessary

  • Owner Occupied - mark if this property is vacant, owner occupied or currently leased.

  • Market Rent - what weekly rent could this property potentially achieve.

  • Market Rent Sorting - this price will not be advertised and is used to match buyers. only numbers can be used here.

  • Lease Expiry/Date Available - when can your potential tenants move in. This MUST be added in order to upload to portals

  • Lease Duration Weeks -how long will your potential tenants lease last for

  • Bond- what is the bond amount expected of your potential tenant

  • VPA Agreed Amount - how much has your landlord agreed to pay towards marketing the property.

There are 3 boxes below this section. Click them to turn them on if your landlords are willing to accept smokers, pets or provide furniture for the property.

Tenant Details

If your listing is currently tenanted, having the tenant details on hand will make it much quicker and easier for you to schedule inspections with the tenant.

Click the Add Tenant button and enter their details in the side menu on the right. Click the Add Client button at the bottom of the side menu.

If you happen to see this notification in either the phone number or email address section, it means this tenant is already in your database and the system will automatically link that file as the tenant for this property when you click the Add Client button at the bottom of the side menu.

This is the final stage of the rental tab. Click the green Update Rental button at the bottom of the page before moving on to the Marketing tab.

Marketing Tab Section Breakdown

This is where all of your marketing materials for this property will be kept. When you go to the Marketing tab, you will default to the Details section of this tab.

At the top is a Ready To Market switch. Do not turn this on until you are ready to market the property to your database and/or online.

On the right hand side you will see some Display Options. Turn the relevant switches on (green) for all those you want displayed in your marketing materials ie Address, Price, Sold Price

Headlines and Summaries

This is the core section of your marketing tab. You will need at least a Heading and Summary in order to upload the property to the online portals.

Heading - Enter an advertising Headline

Summary - advertised description of the property

Short Summary - this is used for print brochures and in some email templates where space is limited.

Enquiry Response - if you are sending an enquiry response email (manually or automatically) you can elect to show this property specific response in that email. For example, Current lease expiry date, or any other detail your buyers need to know that you don't particularly want shown online.

Key features - any key features of the property

External ID's

This section is used to link online enquiries directly to your database. You will not need to use this section until you have uploaded the property online.

Website, Video and Virtual Tour Links

Click the add url button under the relevant heading and paste the link

  • to this property's page on your website

  • to the property video (if applicable)

  • to the virtual tour of the property

If you plan on using the LockedOn property microsite, please leave the website box blank. For more information on LockedOn property microsites, please refer to the relevant article here.

This is the end of of the marketing details tab. Be sure to click the green Update Marketing Details button at the bottom of the page before moving to the Marketing>Images tab.

Move to the Images tab within the Marketing section of this property file.

Images

Here is where you will upload your property photos and floorplans. Once you have your photography back, you can upload your images to the property file ready for marketing.

Click the Upload Images button and select the images from your computer.

You can drag images to change the order or click the pencil icon in the right hand corner of each image to edit it with the LockedOn image editor.

Scroll down the page to the floorplan section and follow the same process to upload your floorplans.

Uploading to portals

Once you have confirmed the listing details are saved, and you are ready to market this property online;

  • Go to the Portals Tab

  • Along the top are 3 Display options; Display Sold Price, Display Address, Display Price. Click the relevant switches to green for all you wish to show.

  • Just below this is an Advertised Status dropdown box. Click the downward facing arrow in this box to expand the options.

  • Select Current

  • Mark all portals you wish to upload this change to as Active on the list below.

  • Confirm the Upload Checklist on the right hand side is all ticked. If any of these items are missing, the property will not upload.

  • Click the orange Upload Property button.

Your rental listing will now show on all portals selected.
